The Reality

Six IT Challenges Hitting Private Schools Right Now

Independent schools face a specific set of technology pressures — different from a CPA firm, a law office, or a medical practice. Whether your school has a tech director or no internal IT at all, these are the patterns we see across the Triad.

Business Office Phishing

Head-of-school impersonation. Wire transfer scams during tuition season. Spoofed vendor invoices. Schools are tier-1 targets for business email compromise — and the people answering those emails are admissions and development staff, not security analysts.

SIS & Tuition System Downtime

When Blackbaud, FACTS, Veracross, or Senior Systems goes down during admissions week, report cards, or year-end, the school stops functioning. Most schools have no documented recovery plan if their core platforms go offline.

One Person Carrying It All — or No One At All

Smaller schools have no internal IT, so faculty call whoever's nearest when something breaks. Larger schools have a single tech director carrying cybersecurity, classroom support, vendor management, and accreditation tech plans simultaneously. Both situations leave critical gaps.

Aging Classroom Infrastructure

Smartboards that no longer connect to faculty laptops. Wi-Fi dead zones in the gym, the chapel, and the science wing. Projectors limping toward end-of-life. The tech budget always loses to the teaching budget — until something stops working in front of 30 students.

Student & Family Data Scattered Everywhere

SIS, tuition platform, gradebook, parent portal, development database, alumni records, financial aid files. Sensitive information about minors and families lives across systems that may or may not be properly secured — and accreditation bodies are increasingly asking what you're doing about it.

Attacks Timed for When the School Is Closed

Ransomware crews deliberately pick Friday evenings, holiday weekends, and summer break. Without 24/7 security monitoring, an attack that starts at 6 PM Friday has 60+ hours to spread before anyone notices on Monday morning.

What Trinity Delivers

Six Services Built for the Way Independent Schools Operate

Every service below is available two ways: as fully outsourced delivery (Trinity is your IT department) or as a co-managed layer working alongside the tech director you already have. Same expertise, sized to fit how your school is structured.

Cybersecurity & Student Data Protection

24/7 SOC monitoring, EDR-based endpoint protection, MFA, email security, and student content filtering. We protect the systems where student records, family contact information, and financial aid data actually live.

SIS, Tuition & Donor System Support

Blackbaud, FACTS, Veracross, Senior Systems, Raiser's Edge — we handle integration, troubleshooting, backup verification, and vendor escalation so your team doesn't have to sit on hold during a system outage.

Faculty & Staff Help Desk

School-day help desk coverage for faculty and staff, with PTO and sick-day backup for your tech director. We don't promise after-hours phone support — but we do make sure no one is the single point of failure during a normal school day.

Campus Wi-Fi & Network

Coverage audits, network design, and ongoing management across multi-building campuses — classrooms, gym, chapel, science labs, outdoor athletics. Includes student/faculty network segmentation and BYOD policy support.

Backup & Disaster Recovery

Immutable backups of SIS data, transcripts, donor records, financial systems, and shared faculty drives. Documented recovery plans so you know exactly what gets restored first when something goes wrong.

Common Questions

What Heads of School Actually Ask Us

The questions we hear most often from business managers, heads of school, and tech directors evaluating a new IT partner. Direct answers, no sales scripts.

Will Trinity work alongside our existing tech director, or are we expected to replace them?

Both. Trinity operates as a co-managed partner when your school already has a tech director or network admin — we handle cybersecurity, 24/7 security monitoring, vendor escalation, and projects beyond what a single person can cover, while your tech director keeps owning the day-to-day relationships with faculty and the systems they know best. For schools without internal IT, we operate as your full outsourced IT department. The goal is filling gaps, not replacing people.

Do you support Blackbaud, FACTS, Veracross, or Senior Systems?

Yes. We work with the major Student Information Systems and tuition management platforms — Blackbaud Education Management, FACTS SIS and Tuition, Veracross, Senior Systems, and adjacent tools like Raiser's Edge for development offices. Trinity doesn't replace your software vendor's support team; we manage the integration, security, backup, account access, and escalation so your staff isn't sitting on hold trying to explain a problem they didn't cause.

What happens to our SIS if a server fails during admissions or report-card week?

If your SIS is cloud-hosted (Blackbaud, FACTS, Veracross cloud, etc.), the vendor handles the infrastructure — but you still need a backup of your data, a documented recovery plan, and a way to keep operating if the vendor has an outage. If your SIS runs on a local server, we maintain immutable backups, replicate critical data, and document recovery steps so you know what gets restored first when something goes wrong. Either way, we test these plans before you actually need them.

Do we need cyber insurance, and what does it require?

Yes — every private school should carry cyber insurance, and the requirements have tightened sharply over the past three years. Most carriers now require multi-factor authentication on all administrative accounts, endpoint detection and response (EDR) on every device, regular phishing training for staff, and tested backups stored separately from production systems. Without these controls, carriers either decline to write a policy or charge dramatically higher premiums. Trinity's standard cybersecurity stack meets or exceeds the controls most insurers require — we'll review your current posture against your specific policy and tell you where the gaps are.

How often should we replace student devices, faculty laptops, and classroom tech?

Realistic refresh cycles for private schools: faculty and staff laptops every 4-5 years, student devices every 3-4 years (more often for elementary if they take a beating), classroom projectors every 7-10 years, network gear like switches and access points every 5-7 years, and on-premises servers every 5 years. The bigger trap most schools fall into isn't replacing too rarely — it's not budgeting for refresh at all and getting hit with surprise capital expenses every few years. We help schools build a 5-year technology refresh plan that smooths out the budget impact.

What's the difference between your 24/7 SOC monitoring and 24/7 help desk?

They're two different things, and we want to be transparent about which we offer. Our 24/7 Security Operations Center (SOC) monitors for cyber threats around the clock — every hour, every day, including holidays and summer break. Standard help desk support runs during the school day (business hours plus PTO and sick-day coverage for your tech director). We don't promise after-hours phone support for help desk tickets because it's not what we can deliver reliably. If a faculty member can't print at 9 PM, we'll address it first thing the next morning. If ransomware tries to spread at 9 PM, we're already on it.

The Piedmont Triad

Built in the Triad. Built for Triad Schools.

Trinity Solutions has been part of the Piedmont Triad's technology landscape since 2003 — long enough to know the local vendors, the seasonal rhythms of the school year, and the way news travels in tight-knit education communities. When something works for one Triad school, the head of school next door usually hears about it before the end of the month.

We serve private schools, academies, and independent day schools across Greensboro, High Point, Winston-Salem, Kernersville, Asheboro, and the surrounding communities. As a BBB A+ accredited business since 2011 and a member of the Greensboro Chamber of Commerce, our reputation is built locally — and depends on staying close to the schools we serve.
